This policy explains how Tajweed Scholars handles personal information for prospective and enrolled learners, parents, and guardians.
1. Referral and campaign information
When you submit a trial or contact form, we may receive basic referral and campaign information, such as the page you visited and UTM campaign labels, to understand how enquiries reach us.

This policy applies to prospective and enrolled learners, parents, and guardians who contact or learn with Tajweed Scholars.
3. Information we collect
We collect placement, contact, scheduling, and learning information that families provide, along with essential technical and communication records.
4. Why we use information
We use information to arrange trials, assess placement, deliver classes, communicate progress, support safeguarding, and administer enrollment.
5. Information about children
A parent or guardian must provide and manage information for learners under 18. We use children’s information only for teaching, placement, communication, and safeguarding.
6. Trial and class communications
We may contact families through WhatsApp or email about trials, schedules, attendance, homework, teacher feedback, and clear next goals.
7. Class recordings
Where a recording is specifically agreed for quality or safeguarding, access is restricted and it is retained for no longer than 90 days unless a safeguarding or legal need requires otherwise.
8. Tools and service providers
We use Zoom, email, messaging, hosting, and secure record-keeping services only as needed to operate the academy.
9. Who can access information
Access is limited to authorized Tajweed Scholars personnel and assigned teachers who need it to provide the service.
10. How long information is retained
We retain information only as long as reasonably needed for admissions, teaching, safeguarding, administration, and applicable obligations.
11. Family access, correction and deletion requests
Families may ask to access, correct, or delete personal information. Some records may need to be retained for safeguarding, security, or legal reasons.
12. Security and safeguarding
We use reasonable organizational and technical controls and share personal information only through official Tajweed Scholars channels.
